What does professional office cleaning include?

Professional office cleaning covers workstations, shared equipment, break rooms, restrooms, conference rooms and floors, usually after hours so staff are not disrupted. A strong program cleans high-touch items like keyboards, phones and door hardware on a set schedule, adds disinfecting during flu season and plans periodic carpet care.

Offices look simple to clean until you count the touch points. Dozens of people share the same door handles, printers, coffee machines and conference room controls every day. This section covers how those items should be handled, how carpet care fits in and what changes when flu season arrives in the Chicago suburbs.

How should desks, keyboards and shared equipment be cleaned?

Electronics are cleaned with the method the manufacturer allows, usually a damp wipe rather than a spray.

Follow the equipment maker, then the disinfectant label

Electronics come first. Keyboards, mice, headsets and touchscreens should be cleaned with the method the manufacturer allows, usually a pre-moistened wipe or a cloth that is damp, never dripping. Liquid sprayed directly onto equipment can get inside it.

For disinfecting, EPA's six steps for safe and effective disinfectant use apply in an office the same way they do anywhere: confirm the product's EPA registration number, check the "use sites" and "surface types" on the label, pre-clean visibly dirty surfaces, and keep the surface wet for the full contact time.

Personal desks are a policy question as much as a cleaning one. Many offices ask crews to clean clear desk surfaces only and leave papers untouched. Writing that into the scope prevents misunderstandings. Shared hot desks, phones in conference rooms and reception counters are different: they belong on the nightly list.

Why does the break room need its own plan?

The break room is where food, water and shared handles meet. Refrigerator and microwave handles, coffee-maker buttons, faucet handles, tables and the sink all collect soil fast. Food-contact surfaces should be cleaned and then sanitized, while handles and buttons are high-touch surfaces that may call for disinfecting.

Two habits make a big difference. First, set a weekly refrigerator clear-out day so spoiled food doesn't become a cleaning crew's judgment call. Second, keep sponges out of shared sinks and use disposable or laundered cloths, because a wet sponge holds onto soil and spreads it.

How often should office carpet be cleaned?

There is no single required interval. The ANSI/IICRC S100 Standard for Professional Cleaning of Textile Floor Coverings (seventh edition, 2021) covers cleaning methods and systems, spot and stain removal, and inspections before and after cleaning for both commercial and residential carpet. Frequency is set by traffic and soil, not by the calendar.

Winter salt residue near entries and elevators attracts soil, so a spring extraction is a common reset.

Daily, interim and restorative care

In practice, offices layer carpet care: vacuuming traffic lanes and entries often, interim cleaning of high-traffic paths between deep cleans, and periodic hot-water extraction across the whole floor. Spots are easiest to remove the same day they happen, so a quick way for staff to report spills helps.

Winter is hard on office carpet in DuPage County. Salt and slush tracked from parking lots leave white residue near entries and elevators, and that residue attracts more soil. An early-spring carpet cleaning clears that residue before it sets in, and it can be scheduled on its own or as part of a broader deep cleaning service.

Is after-hours office cleaning the right choice?

For most offices, yes. Cleaning after staff leave avoids vacuum noise during calls, lets crews clear conference rooms and kitchens fully, and gives disinfectants their contact time without someone setting a coffee cup down mid-dwell.

After-hours service does need a few things settled up front: key and alarm-code control, which doors to lock on exit, and whether HVAC runs overnight. That last one matters because the EPA's guidance on volatile organic compounds lists cleansers and disinfectants among products that release VOCs and recommends increasing ventilation when using them.

A typical nightly office clean follows a set order:

  1. Trash and recycling. Bins are emptied and liners replaced so nothing spills onto cleaned floors later.
  2. High-to-low dusting. Ledges, partitions and vents are dusted before desks so falling debris lands on surfaces not yet cleaned.
  3. Workstations and shared equipment. Clear surfaces and shared electronics are cleaned per the scope and the manufacturer's instructions.
  4. Break room. Counters, sinks and appliance exteriors are cleaned, food-contact surfaces sanitized and handles disinfected.
  5. Restrooms. Fixtures are cleaned and disinfected for the labeled contact time and dispensers restocked.
  6. Floors. Carpets are vacuumed and hard floors mopped last.
  7. Walkthrough and lock-up. The crew checks the scope, turns off lights and secures the space.

What should change during flu season?

Flu has a real effect on workplaces. CDC's preliminary estimates for the 2024–2025 season show how many people it reached:

Estimated U.S. flu burden, 2024–2025 season

Number of people, United States, preliminary CDC estimates

Flu illnesses51 million
Medical visits23 million
Hospitalizations710,000

Cleaning is one layer of protection, not the whole answer. According to the CDC's page on how flu spreads, most experts think flu spreads mainly by droplets when people cough, sneeze or talk, and less often when someone touches a contaminated surface and then their mouth, nose or eyes. That makes high-touch disinfecting worthwhile during flu season, alongside sick-leave policies and good ventilation.

During flu season, offices often add sanitizer stations and disinfect shared handles more often.

A flu-season adjustment

Common changes include disinfecting shared touch points more often, adding hand-sanitizer stations near entries and break rooms, and a mid-day pass on restrooms and kitchens in larger offices. When someone goes home sick, a targeted clean of their workstation and nearby shared items makes sense.

Frequently asked questions

Should office cleaners clean personal desks?

That depends on your policy. Many offices ask crews to clean only clear desk surfaces and to leave papers and personal items untouched, while shared hot desks, phones and reception counters are cleaned every night. Writing the desk policy into the scope avoids misunderstandings and protects confidential documents.

How often should shared keyboards and phones be disinfected?

Shared equipment that many people use, such as hot-desk keyboards, conference phones and touchscreens, is usually cleaned nightly, with more frequent disinfecting during flu season or after someone goes home sick. Always use the cleaning method the equipment manufacturer allows and a disinfectant whose label permits use on that surface.

Can surface cleaning stop flu from spreading in an office?

It helps but is only one layer. CDC says most experts think flu spreads mainly by droplets when people cough, sneeze or talk, and less often through contaminated surfaces. Disinfecting high-touch items is most useful alongside staying home when sick, hand hygiene and good ventilation.

Do we need to be in the office during after-hours cleaning?

No. Most after-hours office cleaning is done without staff present. Before service starts, agree on key and alarm-code handling, which doors to lock, which areas are off limits and who to call if the crew finds a problem such as a leak or an unlocked door.

What is the difference between interim and restorative carpet cleaning?

Interim cleaning is a lighter method used on high-traffic paths between deep cleans to keep carpet looking consistent. Restorative cleaning, often hot-water extraction, cleans the whole floor more thoroughly at longer intervals. The IICRC S100 standard covers professional carpet cleaning methods and inspections but does not set one required interval.
